Privacy Policy
What we collect when you ask for a quote, why we need it, who it reaches, and how to have it removed.
Last updated: September 10, 2026.
The short version
We collect what is needed to price and arrange your shipment, we pass it to the carrier who moves your vehicle, and we sell it to nobody. This site sets no cookies and runs no analytics or advertising. It does load its fonts from Google, and it uses a few lookup services to suggest cities and vehicle details as you fill in the quote form — both are explained below.
1. Information you give us
- Contact details — your name, email address, and phone number if you give one.
- Shipment details — pickup and delivery locations, vehicle year, make, model and condition, your VIN if you choose to enter it, transport type, and your first available date.
- Correspondence — emails and messages you send us, kept so our team can pick your file up where the last conversation left off.
- Shipment records — once you book: the bill of lading, the assigned carrier, dates, and the amounts paid.
We do not ask for, and you should not send through this website, payment card numbers, bank details, or Social Security numbers. This site processes no payments.
2. How the quote form actually sends your details
Worth stating plainly, because it is unusual. When you submit the quote form, the details are either posted directly to our form-handling service (Netlify Forms, provided by our website host) or, where that is not available, handed to your own email program as a pre-filled message that you send. In the second case the information travels through your email provider rather than through this website, and nothing is stored on this site at all.
3. Lookup services that help fill in the quote form
To save you typing, the quote form suggests places and vehicle details as you go. To do that, your browser sends what you type in those fields to the following services:
- Cities and ZIP codes — text typed into the pickup and delivery fields is sent to Photon, a place-search service built on OpenStreetMap data and operated by komoot, and ZIP codes to Zippopotam.us. If we enable Google’s place search, that text is sent to Google Maps Platform instead.
- Vehicles — the year and make you choose, and your VIN if you enter one, are sent to the vPIC vehicle database run by the U.S. National Highway Traffic Safety Administration (NHTSA) to list models and decode the VIN.
These requests contain only what you typed in those fields, plus the technical details any web request carries, such as your IP address and browser type. They never include your name, email address, or phone number. Each service handles requests under its own privacy policy, and some may process them outside the United States.
4. Information collected automatically
This is a static website. It sets no cookies of its own and runs no analytics or advertising scripts. Our hosting provider keeps standard server logs, which typically record IP address, browser type, the page requested, and a timestamp. Those logs exist for security and reliability, are not used to build a profile of you, and are retained only briefly by the host.
The site’s typefaces are loaded from Google Fonts, so when a page is displayed your browser requests the font files from Google, which receives your IP address and browser details in the process.
5. Information from other sources
To vet carriers we look up public federal records — FMCSA operating authority, insurance filings, and safety history in the SAFER and Licensing & Insurance systems — and we request insurance certificates directly from carriers. That is information about carriers, not about you. If a lead reaches us through a third-party lead provider rather than this website, we receive from them the shipment details you gave them.
6. How we use it
To price your move, post it to carriers, arrange and manage the shipment, keep the records the law requires us to keep, and contact you about it. If you request a quote and do not book, we may follow up about that quote — ask us to stop at any point and we will.
7. Who it reaches
- The assigned carrier, which needs your name, addresses, phone number, and vehicle details in order to pick up and deliver.
- Load boards, when we post the shipment to find a carrier. Postings carry route, vehicle, and date information — never your name, address, or contact details.
- Our customer records, where your quote request and shipment details are stored so our team can work on them. They are not shared with anyone else.
- Service providers we use to run the business, such as website hosting, email, document signing, and the lookup services described in section 3, under their own terms and only for that purpose.
- Insurers and claims adjusters, if a claim is made on your shipment.
- Authorities and regulators, where we are legally required to disclose.
- A successor, if the business is ever sold or merged — in which case the commitments in this policy travel with the data.
We do not sell or share your personal information for advertising, and we do not pass it to third-party marketers.
8. Phone calls and text messages (SMS)
Providing your phone number on a quote form or by SMS is your consent for Union Haul LLC to call or send you SMS text messages about that specific shipment — a price update, a dispatch confirmation, a driver ETA, an arrival note. We do not send marketing broadcasts, and we do not add you to any autodialed campaign.
Message frequency varies by shipment, typically 4–10 messages from quote through delivery. Message and data rates from your mobile carrier may apply. Reply STOP at any time to opt out of further SMS from us, or HELP for help. You may also tell us by phone or email and we will remove your number the same day.
No third-party sharing of mobile information. Mobile phone numbers collected on our quote forms and any SMS opt-in consent associated with them are used solely by Union Haul LLC for the shipment the number was provided in connection with. We do not sell, rent, share, or otherwise transfer mobile phone numbers or SMS opt-in consent to any third parties or affiliates for their marketing or promotional purposes. The only exception is the specific motor carrier assigned to move the vehicle, who receives the shipper’s contact details as needed to arrange pickup and delivery under the shipment (as described in section 7 above).
9. How long we keep it
Federal regulation requires a property broker to keep a record of each transaction — 49 CFR 371.3 — and we retain those records for the three years that rule specifies, and longer where tax, insurance, or claims obligations require it. Quote requests that never become shipments are kept for a shorter period and then deleted. Ask us to delete an unbooked quote sooner and we will.
10. Security
Access to shipment records is limited to the people who need it to do the work, and we take reasonable measures to protect what we hold. No transmission over the internet is completely secure, and we will not pretend otherwise.
11. Your choices
You may ask what we hold about you, ask us to correct it, ask for a copy, or ask us to delete it where we are not required by law to keep it. Contact us at info@unionhaulllc.com, (442) 259-3353 and we will respond within a reasonable time, and within any period the law sets. We will not treat you differently for exercising any of these rights.
12. State privacy rights
Residents of California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana and other states with comprehensive privacy statutes have rights to know, access, correct, delete, and obtain a portable copy of their personal information, and to opt out of its sale or of targeted advertising.
Two of those are easy for us to answer: we do not sell personal information and we do not use it for targeted advertising, so there is nothing to opt out of. California residents may also ask whether we share personal information with third parties for their own direct marketing; we do not. For the rest, use the contact details above and say which right you are exercising. If we cannot verify that a request comes from you or your authorized agent, we will say so rather than release data to the wrong person. If we decline a request you may appeal by replying to our response.
13. Do Not Track and Global Privacy Control
Because this site runs no tracking, there is nothing for a Do Not Track header or a Global Privacy Control signal to switch off. Should we ever add analytics, we will honor GPC signals and update this policy before doing so.
14. Children
This site is intended for adults arranging vehicle transport. We do not knowingly collect information from anyone under 18. If you believe a child has sent us information, write to us and we will delete it.
15. Links to other sites
Where we link out — to FMCSA SAFER, for instance — those sites have their own privacy practices, which we do not control and are not responsible for.
16. Where your data is handled
Union Haul operates in the United States and your information is processed here, except that some of the lookup services described in section 3 may handle the text you type outside the United States. If you contact us from outside the US, you are sending your information to a country whose data protection laws differ from your own.
17. Changes
If this policy changes, the date at the top of this page changes with it.
